A digital photo folder you can find your way around
A simple naming and backup habit for the pictures you want to keep.
Choose one understandable structure
Start with year folders and short event names, such as 2026-08-coast-weekend. Use a system that another family member could understand without an explanation. Keep original files separate from resized sharing copies and edited exports. Do not spend the first session renaming every photograph you have ever taken. Pick a recent folder, make the structure work there and expand gradually. Where a date is uncertain, record that uncertainty instead of assigning a precise date that will later look authoritative.
Keep more than one copy
A synced gallery is convenient, but a deletion may also sync across your devices. Keep an independent backup as well as the working collection, and consider an additional copy stored in a different place. Review the backup provider's retention and account recovery options. Check that important files actually open from the backup rather than trusting a green status icon. Include the captions and scanned handwritten notes that give the photographs their meaning, not just the image files.
Plan for other people
Decide which relatives should have access and avoid public links for sensitive family pictures. Share selected copies rather than an unrestricted folder when that is enough. Record where the collection lives and how an authorised person could recover access, using a suitable password manager rather than putting passwords in the photo folder. Revisit the system after a device change. Export anything held only inside a proprietary app while you still have working access to it.
Keep original files and objects safe, and ask permission before sharing another person's story.
